Setting Up Campaign Emails

Creating an email campaign

Choose the type of email campaign that you wish to send; Event Invite, Follow Up or Post Event Email by clicking on the "Create email" button underneath the appropriate email type. Follow the steps below to complete your campaign setup:

Basic details

Specify the campaign name, description, email title and reply to email address for your email here. If your email will contain plain text only (will not have any non text items such as images or hyperlinks) then check the 'Text only content?' check box.

Distributions

Click the 'add' button in this section of the email campaign overview to specify the individuals who you wish to send the campaign to. There are two ways of creating your distribution list:

1. Upload a recipient list

click on the 'I would like to upload a recipient list' radio button and press 'continue' to see the button 'select a import file' which allows you to upload your CSV file of delegate email addresses and relevant data for your campaign from 'Files'.

Once you have selected your CSV file, press 'Save and continue' to confirm the data structure of your file. Here you can match up your CSV column titles on the left of the page with the merge tag options (that you will use to build your email) in the drop down menu to the right of this. If one of the CSV column titles is not represented in the drop down menu, then choose 'NEW FIELD' in the drop down menu, this will save your merge tag as the column name. When you have selected an option from the drop down menu for each column title, press 'Save and continue' to be taken to the distribution summary page.

The distribution summary shows the records that you have imported, along with any records that have not been uploaded successfully - 'dropped records'. Records are dropped if the email address is a duplicate, is invalid or if the email address is that of a contact that has opted to 'opt out of marketing' as stored in 'contacts'.

2. Create a list from a past campaign

Click on the 'I would like to upload a list from a previous campaign' radio button to select the previous campaign that you wish to use as a basis for your new distribution list from the drop down menu. Having made your selection, press the 'continue' button to confirm the data structure of your recipient list by matching up your CSV column titles on the left of the page with the merge tag options (that you will use to build your email) in the drop down menu to the right of this. If one of the CSV column titles is not represented in the drop down menu, then choose 'NEW FIELD' in the drop down menu, this will save your merge tag as the column name. When you have selected an option from the drop down menu for each column title, press 'Save and continue' to be taken to the distribution summary page.

Content

To add your email content, click 'edit' next to the type of email 'HTML' or 'Plain Text' that you wish to add.

Adding an HTML email - choose to use an HTML template, an HTML import or copy an HTML email from a previous campaign here before editing your content in the content editor. Click on merge tags on the right hand side of the page to use them in your email content, when you are happy with your content, press 'save' at the bottom of the page.

Adding a plain text email - add your plain text content in the content editor. Click on merge tags on the right hand side of the page to use them in your email content, when you are happy with your content, press "save" at the bottom of the page.

Schedule

Complete your campaign setup by specifying when you wish to send your email campaign. Choose from the following scheduling options outlined below.
Send the campaign now - press this radio button and hit 'save' to send your campaign immediately.
Send at a specific date and time -  press this radio button and specify a specific time and date for your campaign to be sent, if you do not wish it to be sent immediately.

Viewing a delivery report

To see delivery information from an email campaign, click on the relevant campaign in the campaign email list, the 'delivery report' section towards the bottom of the page contains information on email bounces, opened emails, not opened emails and links clicked.
