How can I set up event sessions?

Sessions

Sessions are the different sections of the day that make up an event e.g. keynote speeches, workshops and coffee breaks.
The sessions that are set up here will be pulled to a programme table which can be used on your event website or on-line booking form.
An unlimited number of sessions can be added. To add a new session click "Add session" towards the top right of the screen. Please select whether the session you wish to add is a "Plenary" session (mandatory) or a "Bookable" session (optional).

Plenary session
Enter the title of your session and a description, this will show in your event programme which can feature on your on-line pages. You also need to add the date, location and start and end times of your session. If you wish you can also add a code which can be useful as a visual aid to group sessions together when you view them in the main session list.

Once these details have been saved you will be taken to the session overview page where you can associate speakers and abstracts with your session.

Bookable session
 Initially, setting up a Bookable session is exactly the same as setting up a Plenary session and once complete you will be offered the same ability to associate a speaker and their details to the session, however there are some new steps that you will encounter:

Session capacity
Here you can set up a capacity for your bookable session and receive an email notification when the capacity is close to being reached. When the capacity is reached the session will no longer be available to book from any on-line booking forms for the event. It will however be available for you to add further attendees to if you wish via symphony. If you want more attendees to be able to book the session on-line, just increase the capacity in the Symphony and the session will be available again on the on-line booking form.

You can also decide to put a waiting list on the session. This means that when the capacity is reached the waiting list will open and attendees can then sign on to the waiting list instead of the session. If you later find more capacity for your session, you can add the waiting list sign-ups onto the session and then send them an email to let them know.

Guests
You can also decide whether attendees can bring guests to your session. This is useful if you have a session where attendees are likely to want to bring people who are not attending the rest of your event, like for instance a gala dinner. Guests will be charged the same as other attendees for the session and will also affect capacity totals.

Availability and pricing
This area allows you to decide which of your ticket and attendee type options this particular session is available to. You can also set a price here for your session.
